Excel tool for automated contract creation in Word

The Medios Group is a company from the medical technology sector with numerous subsidiaries, each using different corporate designs and stationery layouts. The central HR department faced the challenge of, standardised employment contracts and legal documents to be created, where only the respective letterhead should differ.

Die Zielsetzung war die Entwicklung eines Tools, das die zentrale Pflege von Vertragsinhalten und deren automatisierte Prüfung ermöglicht. correctly formatted contract creation in Word takes place – regardless of company or document type.

We developed a Flexible Excel-based contract tool with Word automation, consisting of two central modules:

• Contract Module Creation of employment contracts and legal documents

• Cover Letter Module Generation of individual cover letters in the appropriate corporate design

The tool offers the following functions, among others:

• Automatic filling of Word templates from Excel

• Company-dependent stationery layouts

• Intelligent Field Logic: The tool recognises which details are required for which contract type

• Automated checking of special employment law cases

• Self-expanding functionality New contract types, companies and cover letters can be created without programming knowledge

• Creation of the final Word documents at the touch of a button

The HR department has been successfully using the tool for several years for almost all HR-related correspondence – now for over 100 different document types. The Medios Group was thus able to achieve a Group-wide standard for contracts and legal documents establish across all subsidiaries.
The tool is continuously being developed and regularly adapted to new Employment law requirements adjusted.
